What we collect

When you register for an experience or event, we ask for your name, email address, phone number, the number of people in your party, and any dietary requirements or allergies you tell us about. We also invite you — optionally — to share your Instagram handle and whether you have joined us before.

Allergy and dietary information is sensitive, and we treat it that way. We collect it for one reason: so the kitchen can cook safely for you. It is shared with the host or venue preparing your meal and with nobody else.

When you enquire or plan a trip, we collect the contact details and travel preferences you enter into the form.

When you sign in to your account, we use your email address to send a one-time sign-in link.

When you pay, the payment is handled by our payment gateway. We receive confirmation that a payment succeeded and a transaction reference. We never see or store your card number, UPI PIN or bank credentials.

Automatically, our hosting and analytics record standard technical information such as IP address, browser type and the pages you visited.

Why we collect it

To take and manage your booking; to cater safely for your dietary needs; to contact you about an experience you have booked; to issue a GST invoice as the law requires; to answer your enquiries; and to improve the site.

If you have asked to hear about future experiences, we will email you about them. You can unsubscribe at any time and we will stop.

Who we share it with

We share the minimum necessary with the services that make the site work:

  • Our payment gateway, to process your payment
  • Calendly, if you book a call — your booking details are held in their system
  • Our email provider, to deliver confirmations, invoices and sign-in links
  • The host, venue or kitchen delivering your experience, including your dietary requirements
  • Our accountant, for tax and invoicing

We do not sell your personal information, and we do not share it for anyone else's advertising.

How long we keep it

Booking and invoice records are kept for as long as tax law requires — in India this is generally several years. Dietary and allergy notes are kept only as long as needed for the experience and our records [TO CONFIRM — how long you keep allergy notes after an event]. Marketing contacts are kept until you unsubscribe.

Photographs at our experiences

We often photograph our gatherings, and we sometimes use those photographs on this website and on social media. If you would prefer not to appear, tell us on the day or email us afterwards and we will not use images of you, or will remove them.

Your choices

You can ask us what we hold about you, ask us to correct it, ask us to delete it where we are not required to keep it, and unsubscribe from marketing at any time. Email theveggietravels@gmail.com and we will respond within [TO CONFIRM — response window for data requests].
